Capture receipts and invoices without typing them out

A photo of a fuel receipt, a PDF from your supplier, an e-invoice in XML: it all goes in the same way. BonDepot reads what is on it, suggests a ledger account and sets it aside as a draft. You check it and post it — and the original stays attached.

How it works

1. In: photo, PDF or XML

Drag a pile of receipts onto the screen, or let BonDepot collect them from a shared folder on OneDrive or Google Drive. Several files at once is fine; separate pages of one invoice you merge into a single document.

2. Out: supplier, amounts and VAT

The supplier, the date, the invoice number, the amounts and the cost lines are read out, with a suggested ledger account alongside. E-invoices skip the AI entirely: those are read exactly.

3. You check it

Every document arrives as a draft: free to change, delete and renumber. If it looks like a receipt you already have, BonDepot says so before you save it.

4. Post it, and it is fixed

One click posts a draft, or you post everything in front of you in one go. A journal entry is created and the document number is fixed. Anything that does not add up, or has no ledger account yet, is refused rather than quietly patched up.

What it works out for you

Capture does not stop at the text on the receipt. A few things that would otherwise come back every quarter are settled right here.

The supplier is recognised

BonDepot looks up the supplier by chamber of commerce number, VAT number, IBAN or the name on the receipt. A new one comes in as a proposal for you to approve — so your address book does not fill up with three versions of the same supplier.

Foreign VAT stays out of your return

On an invoice from abroad, not only the rate is read but also the country whose VAT it is; the line then shows 19% (DE), for instance. German VAT is not Dutch input tax, so it stays out of box 5b of the Dutch VAT return and appears separately in an overview for the EU refund request.

Meals and business gifts

VAT you are not allowed to reclaim you switch off per line; the full amount including VAT is then posted as a cost. For a supplier where that always applies, you set it once and new lines have it right from the start.

Scan with your phone, no app

You photograph receipts where you get them. That does not need a separate app: you open BonDepot in your phone's browser and the camera is ready.

Nothing to install

No app store, no updates, no second password. One button in the menu and the camera opens — on an iPhone just as well as on an Android device.

The edges are detected

BonDepot finds the four corners of your receipt and straightens the image, so the table around it falls away. If a corner is off, you drag it into place before sending.

Straight into your books

The photo is read and waits for you as a draft. You check it later at your desk — or not at all, if everything is right.

E-invoices: exact instead of recognised

If you receive invoices as a UBL or CII file (Peppol, NLCIUS, XRechnung), no AI is involved: they are read directly, with the amounts exactly as your supplier sent them. When the e-invoice is embedded in a PDF (Factur-X or ZUGFeRD), it is taken out of there and used.

When the PDF and the XML arrive as a pair, they become one document: the XML supplies the data, the PDF is what you see on screen, and both go into the archive. Your own sales invoices, incidentally, go out as e-invoices just as easily.

Still checkable in two years

The original stays with it

Every receipt is stored encrypted and sits next to the lines on screen. From a shared folder, files are not copied but moved into an archive by year, month and supplier: the folder stays empty and the document stays findable.

Posted is posted

A posted document is no longer edited: you correct it by voiding it or reclassifying the entry, and the document number stays where it is. Every change goes into the audit trail with its old and new value, and who made it.
