We are Dex-IT: consultants who have worked for large clients for years. We built BonDepot to begin with for our own books.
It started with a shoebox full of receipts, a quarter coming to an end, and the prospect of typing it all out by hand again. Accounting packages could do all sorts of things, but not that one thing: work through that pile in one go without keying in the same fields for every receipt.
So we built it ourselves. Our own accounts still run on it every day — and that’s exactly why the app is the way it is: if there are any quirks, we’re the first to come up against them.
At large clients an approved, signed timesheet is the condition for getting paid — and anyone who works by the hour knows the fuss around it: hours that still have to be added in the evening, and signed sheets trickling in by email. On top of that comes the double entry: a consultant writes their hours in the client's system, and then again in their own employer's records — the latter often in a hurry, just before the end of the month. Keying in the same thing twice, and hoping the two add up.
We turned that around. The signed timesheet goes into a shared folder, or is uploaded. BonDepot reads it, recognises the client, the project and the month, and puts the result to the person who worked those hours. They check their own hours — that is where the human work stays, because that is where it belongs. What comes out is one draft invoice per client per month, even when several people worked on it, with that signed sheet attached to it. From paper to sent invoice without retyping the sheet.
Whatever is not on your client's timesheet, you simply add yourself: a day of leave, an internal course, an afternoon of meetings. It all counts, because your week is only complete once every hour is in it — 32 billable hours plus 8 hours of leave makes a full week. So BonDepot works with your whole month and shows what is still missing, not only what can be invoiced. And adding is quick: carry a line over to the next working day, or copy a whole week in one go.
No package that does everything and therefore does much of it by halves. BonDepot takes over the recurring work — reading, posting, returns, invoicing — and leaves the rest to your adviser.
You see what has been read before anything is posted, and afterwards every amount can be traced back to where it came from. A set of books you cannot explain is not a set of books.
No receipts quietly posting themselves. The app does the groundwork and puts it to you; the last click is always yours.
Because we do not track you, we do not know what you are doing — we would rather hear from you what could be different. Every question you ask in the app and every report you leave reaches us, and together they decide what we work on. A question that keeps coming back is not a difficult user: it is a part of the app that needs to be clearer or better. That is how this app has grown so far, and that is how it carries on.
No ticket system to disappear into: you ask your question in the app and a person looks at it. Small things are often fixed the same week.
We are working on an overview inside the app of what is planned, which you can vote on yourself. Then you not only see what is coming, but have a say in what comes first.
